The Administrative Assistant provides general administrative services to the company including general administrative support to all departments.
Specific duties include:
- Certificate of Insurance Tracking – COI’s to be maintained and updated for Tenants and Vendors. Send out reminders before expiration date and notices of default if needed.
- Tenant Gross Sales – track and record tenant sales.
- Property Management Files – responsible for maintaining all documents/paper work for the properties and will file electronically and/or manually as appropriate. Preparing new Lease files.
- Receptionist Responsibilities – greet all visitors to the office and assist as needed.
- Administrative assistance to all departments
- Maintain and submit request for office supplies
- Receiving, sorting mail and preparing special mail packages.
- Sending and receiving correspondence
Qualifications and skills needed include:
- 1-2 years of clerical or administrative experience in Commercial Real Estate.
- Intermediate to advanced knowledge of Microsoft Word, Excel and Outlook.
- Must be able to resolve issues timely and efficiently, handle multiple projects simultaneously and manage changing priorities and deadlines.
- Yardi or similar accounting experience preferred.
