Administrative Assistant

The Administrative Assistant provides general administrative services to the company including general administrative support to all departments.

Specific duties include:

  • Certificate of Insurance Tracking – COI’s to be maintained and updated for Tenants and Vendors. Send out reminders before expiration date and notices of default if needed.
  • Tenant Gross Sales – track and record tenant sales.
  • Property Management Files – responsible for maintaining all documents/paper work for the properties and will file electronically and/or manually as appropriate. Preparing new Lease files.
  • Receptionist Responsibilities – greet all visitors to the office and assist as needed.
  • Administrative assistance to all departments
  • Maintain and submit request for office supplies
  • Receiving, sorting mail and preparing special mail packages.
  • Sending and receiving correspondence

Qualifications and skills needed include:

  • 1-2 years of clerical or administrative experience in Commercial Real Estate.
  • Intermediate to advanced knowledge of Microsoft Word, Excel and Outlook.
  • Must be able to resolve issues timely and efficiently, handle multiple projects simultaneously and manage changing priorities and deadlines.
  • Yardi or similar accounting experience preferred.
